Our client, a leading provider of vehicle finance, are currently recruiting for Administrators to join their Dealer Services Team to help them out.

Responsibilities:

  • Provide dealers and brokers with an efficient service in a professional, enthusiastic and knowledgeable manner at all times in order to maintain and develop customer relationships and to promote our client and perform to agreed service levels in line with dealer requirements whilst liaising closely with the all departments to deliver exceptional service.

  • Undertake the setting up and ongoing maintenance of new and existing dealers including reviewing the Dealer Qualification Document and pricing model, conducting business and director/proprietor searches, ensuring relevant mandated approvals, reporting exceptional matters to line management.

  • Ensure that prompt and regular communication and support is maintained between all internal and external parties to ensure seamless and consistent service levels are maintained at all times, reporting exceptional matters to line management.

  • Maintain all systems-based records in an accurate and timely manner, e.g. undertake the administration of dealer incentive schemes duties, predominantly Dealer Hub and MotorV8, manning the designated ”Helpdesk” function, issuing documentation and the setting up and maintenance of records.

  • Assist in the documentation of offer, variation and termination letters, ensuring they are compliant in accordance with Company procedures, agreed terms and conditions and produced in an accurate and timely manner.

  • Ensure all plans and campaigns are set up accurately and in a timely manner. Investigate and resolve data integrity issues and other anomalies on IT based systems to a satisfactory conclusion reporting exceptional matters to line management.

  • Conduct formal reviews of dealer quality, oversight of dealer FCA Licences, ensuring all dealers are compliant and correctly licensed, act upon Equifax Portfolio alerts relating to any detrimental financial data relating, reporting all anomalies.

  • Undertake the periodic review of Distribution Support accounts, analysing data and referring reviews to field sales management.

  • Undertake monthly invoicing and billing of dealers Quote and Propose finance calculators, liaising with the third-party supplier and processing cancellations where applicable.

  • Maintain all dealer records in an accurate and timely manner ensuring data integrity is maintained at all times and assist with any commission adjustments and dealer debit backs in order to ensure potential losses are minimized or negated.

  • Undertake the administration and payment of dealer incentives, e.g. commissions, Distribution Support, MV8.

  • Work as part of a team – supporting, motivating and assisting colleagues in the operation of the department and throughout the business.

  • Develop self and the role by identifying training and development needs in conjunction with the Dealer Services Manager.

  • Assist the Dealer Services Manager Assistant Manager & Team Leaders with staff training, development and providing cover in their absence.

  • Maintain an up-to-date knowledge of regulatory and legislative information related to our client products and services (e.g. ICOB, FCA rules, Money Laundering, Data Protection etc.) as advised by line management. Ensure all Money Laundering issues are reported appropriately.

  • Maintain good knowledge and understanding of all policies and procedures relevant to the role, being compliant with these policies and procedures at all times.

  • Assist in the collation of management information, as requested.

  • Undertake any other reasonable tasks as and when requested by Line Manager.
