Our client is looking for a home-based Administrator/PA to help them out with their admin duties.

The key responsibilities will be;

•To monitor and maintain email inboxes, and ensure all queries are responded to in a timely fashion.

•To effectively use information technology to support the Senior Engagement, Involvement and Empowerment Officer to deliver their work and manage their time efficiently;

•To ensure that all assigned tasks are completed to a high standard;

•To support the organising and running of conferences and events including the booking of suitable venues, the creation and promotion of events online, resources required and timely provision of information to delegates and speakers.

•To take minutes of meetings as required;

•To deal with day to day enquiries in a facilitative and timely manner consulting with colleagues when necessary;

•To collect and process data in line with GDPR and using our Customer Relationship Management Database.

•To process expenses and invoices and log expenditures;

•To support the management the of the Senior Engagement, Involvement and Empowerment Officer shared documents and data to ensure all information stored is accurate and up to date

•To produce material such as invitations, flyers, agendas and evaluation forms

•To coordinate and process mail outs

•To maintain volunteer training documentation as required

•To book travel and accommodation for staff and volunteers.

•To provide an excellent customer service focussed inbound telephone answering services

•To act as liaison between the Senior Engagement, Involvement and Empowerment Officer and internal departments and our supporters, members, volunteers and branches when they make contact

•Provide a high level of support and customer service through various channels of communication

Qualifications

•A levels/equivalent qualification or

•Relevant professional experience, which demonstrates equivalent academic skills

•Evidence of continuous professional development

•Experience of managing, maintaining and developing customer relationships

Experience

•Proven ability to work effectively to deadlines

•Experience and regular use of Microsoft Office package to at least an Intermediate level

•Experience of handling data

•Information research, retrieval and collation using internet/web based systems

•Experience of dealing with and responding to multi-channel communications

•Experience of dealing with and responding to queries, complaints and feedback

•Experience of working in a team with set targets and deadlines

•Experience of working with volunteers

•Demonstrable commitment to collaborative team work

•Demonstrable commitment to inclusive working, ensuring equality and valuing diversity- Understanding of the Social Model of Disability

•The ability to manage change effectively and work in a flexible and cooperative manner

•Excellent written and verbal communication skills, with the ability to communicate effectively in a wide range of audiences

•Good organisational and workload management skills

•Excellent IT skills, in particular Microsoft Office, use of online platforms such as zoom, mail chimp and social media. Database skills are desirable
