Our client is an established insurance service company who are looking for an experienced Administrator to join their Governance team on a 3 month fixed term contract covering a period of increased workload. The role will be based in the head office in Newport city centre although please note that due to ongoing COVID-19 restrictions, the candidate may be required to work from home.

Main duties include:

 

Attending and minuting management meetings via Teams or in person depending on COVID restrictions. Noting that as a financial services institution our minutes need to reflect the full discussion within the meeting rather than just agreements and action points, although they must not be written verbatim.

Support in liaising with departments and contacts within the business as part of the insurance renewal process to ensure the right level of insurance is in place.

Supporting the business on the launch of the new Standard on Policies and Frameworks to ensure documents are put into the right categories and formats.

Creation of meetings and setting of agendas including setting up meetings within the Board Packs software (training will be provided).

Liaising with Executives and others in the business to update action trackers, request meeting papers and collating packs for meetings.

Canvassing availability and arranging meetings via Outlook and Teams.

Creation of a procedures manual for the Governance Department.   

Supporting the Governance team with other administrative work as required.

 

The successful candidate should have strong minute taking experience (specifically in relation to Governance / Secretarial work) and be competent in the use of Microsoft Office packages including Word and Excel. Ideally, we are looking for someone who has the ability to handle sensitive and confidential information in line with company policies and has excellent organisational and time management skills.
