Job Purpose:
To provide reception and administrative support to the team, ensuring the effective management of administration tasks and contributing to the overall efficiency of service delivery.
The post holder will have a can-do attitude and will be proactive in owning and managing their workload and various adhoc requests.
Responsibilities:
Undertake office reception duties, both in person and on the telephone, including taking messages for other staff, in a courteous and responsive manner.
Provide reception support to all agencies working from our client’s premises as advised by the line manager.
Operate manual and computerised office systems, for example filing papers and maintaining databases.
Undertake general office duties, for example:
-Deal with the post.
-Manage the admin Bridgend mailbox, along with Administration officer.
-Draft and send standard letters.
-Photocopy, collate papers and mailings.
-Arrange for documents to be printed.
Monitor stocks of basic items, for example stamps and stationery.
-Order stationery, supplies and equipment as appropriate to the team’s need, gaining approval for expenditure in line with our client’s procedures.
-Archive documents in line with relevant procedures.
-Submit regular meter readings.
Carry out administrative tasks on the WCCIS case-management system in a timely and accurate manner, which may include:
-Change/update the key worker allocated on a client record as appropriate.
-Transfer clients within teams on the system.
-Complete new referrals for transferring to the Alcohol and Drug Assessment service (ADAS) in line with appropriate procedures.
-Make, arrange and maintain an appointment diary.
Manage the administration spreadsheets in order to keep in line with Key Performance Indicator’s.
Support the Alcohol and Drug Assessment service (ADAS) as administrative assistant.
Arrange and attend team and other meetings as required, taking the team meeting minutes each week plus other meetings as requested.
Maintain confidentiality in accordance with our client’s policy and procedure and with any statutory/contractual requirements.
Participate in weekly team meetings and regular supervision sessions.
Take responsibility for updating own training needs and knowledge requirements when necessary.
Promote, monitor and maintain health, safety and security in the working environment.
Ensure that the reception area is tidy and presentable, and that the office is open and closed in line with procedures at the start/end of each working day.
Comply with our client’s policies and procedures, and promote a positive profile of the agency.
Highlight and refer any decisions required outside the scope of this profile to the Treatment Services Team Leader as appropriate.
