Senior Secretary
Salary: £25,000 per annum
Full time/Permanent

Our client in Cardiff City Centre is looking for a Senior Secretary to join their team on a permanent basis.

Essential skills
•Previous secretarial experience
•Advanced skills in Microsoft Word, PowerPoint, Excel, Outlook, Templafy (list others)
•High level of experience with CRM
•Ability to accurately audio and copy type
•Accurate note taker
•Assertive and confident
•Highly organised

Job Description
•Answer the phone, take messages, or redirect calls to appropriate colleagues
•Create and manage spreadsheets, PowerPoint presentations, Word documents
•Ensure cloudbased filing systems and archive records are accurate and up to date
•Proof reading documents
•Assists team in the preparation of quarterly management reports
•Manage and maintain basic budgets; update WIP
•Assist the team with the management of debt recovery / cash collection
•Maintain fee schedules
•Production of invoices, covering letters and liaison with Finance department, as appropriate
•Diary Management
•Book travel, accommodation and compile detailed itineraries
•Manage travel documents e.g. Passport/Visa applications (as applicable)
•Regular engagement with stakeholders to discuss actions, priorities, expectations, and future planning
•Assist with the Bid Process, work with stakeholders to ensure that this is effectively managed to include the preparation of bid documents and source bid document assets
•Takes the lead in preparation of pitches for new business leveraging AY brand assets including the preparation of written and electronic documentation against strict qualification criteria and timescales
•Assist with projects to meet deadlines
•Event management, coordinate events, conferences, and meetings
•Arrange and attend meetings (as required), take minutes/notes, and follow up actions
•Utilise CRM as a key business tool, including managing, updating, reporting and research
