Roles & Responsibilities:

•To work as part of the reception team, co-ordinating the smooth running of the reception area.
•To present a calm and friendly image to patients.
•To maintain a high level of confidentiality and diplomacy at all times.
•Receive visitors to the practice and direct them as appropriate.
•To liaise with other members of the primary health care team, and other agencies connected.


Special Requirements of the Post:

•Ability to use own judgement, resourcefulness and be able to work under pressure.
•To have excellent communication skills
•To be reliable and flexible.
•To observe strict confidentiality on all matters relating to the practice and its patients.

Areas of Responsibility:

Administration:

oTo have a thorough knowledge of all Practice procedures
oTo work in accordance of written protocols
oFax and photocopy as requested
oAdvise patients of relevant charges for private (non GMS) services, accept payment and issue receipts for same.

Reception:

•Receive patients who arrive for appointments at the practice – arriving them on the practice computer system.
•Forward plan patient appointments – utilising practice computer system.
•Handing completed repeat prescriptions to patients – checking names and address and recording.
•Supervise clinics – ensure appropriate forms/paperwork is completed and stored in the correct place, and are available for each specific clinic.
•Receive postal deliveries and pass to appropriate area within surgery
•Receive deliveries from suppliers – ensuring that appropriate member of staff is advised of the delivery.
•Record messages for staff as necessary – ensuring message is received
•Record any change of patient details on appropriate paperwork and pass on the information to the administration office as necessary.
•Using own judgment and communication skills, ensure that patients with no prior appointment but who need urgent consultation are seen in line with the practice protocol and in a non-disruptive manner.




Computer:

•Record requests for telephone advice/house calls on the practice computer system in line with protocols.
•Input confidential patient information onto practice computer as required.
•Access patient test results when required – ensure protocol is followed when giving patients results.

Telephone:

•Have working knowledge of telephone system – including diverting for out of hours.
•Ensure all telephones are answered in line with agreed protocol.
•Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.

Other Tasks:

•Ensure security of the building at all times.
•Ensure that reception area is kept clean and tidy
•Observe Health and Safety procedures at all time.
•Carry out tasks allocated by Practice Manager, when requested.
