Our client is a large medical establishment based in Merthyr Tydfil. They currently have an opportunity for an experienced PA to fill a temporary post.

 

Duties

• Receive and review the Director and Clinic Director’s correspondence, using own judgement to determine action required eg. respond, forward to relevant Department, prioritise for Directorate Manager to review.

•Manage the named individual’s diary effectively, analysing and prioritising appointments appropriately and adjusting diary commitments where necessary.

•Undertake all planning and support activities required in respect of meetings, including preparation and distribution of agendas, collation of reports and papers, publicity, venue organisation, minute taking and production of minutes, ensuring that meetings run smoothly and efficiently.

•Chase up delegates following meetings, to ensure that appropriate action is taken by identified individuals within timeframe.

•Establish and maintain working relationships and effective communication channels with other Departments within and external to Cwm Taf UHB.

•Organise and plan the workload, ensuring that the arrangements for meetings and appointments are managed effectively; that any relevant papers are available as appropriate and that workflow is scheduled so that deadlines are met.

•Exercise judgement and discretion in the day to day handling, monitoring and filtering of appointments and enquiries.

•Organise and administer specific aspects of services including co-ordinating and preparing agendas, undertaking formal minute taking and progressing actions, assisting with organisation of meetings as appropriate, copying and distributing appropriate paperwork in a timely manner.

•Co-ordinate travel arrangements, accommodation and catering arrangements as required.

•Deal with telephone calls from members of staff, patients, and/or relatives on a variety of issues. Patients and relatives may be anxious or angry, wishing to register a complaint and the post holder will need to demonstrate sympathy and empathy.
