Our client is looking for an experienced Personal Assistant to assist the OPCC Executive Team on a temporary basis.

Role Purpose

To deliver a comprehensive administration and diary management service to the Office of the Police and Crime Commissioner’s executive team.

 

Main Responsibilities and Activities:

  • To receive, make and wherever possible, deal with all telephone calls and face to face inquiries on behalf of the OPCC Executive team.

  • To undertake diary management including arrangement of meetings, visits and appointments ensuring that both long term and short-term events are scheduled and prioritised.

  • To ensure the OPCC Executive team are fully briefed regarding all forthcoming meetings and commitments with good quality and timely information/guidance.

  • To deal with all the initial and other queries to the OPCC either by directing to the appropriate officer or, where possible, by direct response

  • To produce accurate and grammatically correct correspondence to support the OPCC Executive team.

  • •To administer the gifts and hospitality register for the OPCC.

  • To undertake the administration and organisation for the Police Appeals Tribunals process.

  • To deal with sensitive and confidential information in accordance with OPCC policies.

  • To take minutes of meetings held by the OPCC Executive team.

  • To maintain an effective reminder system to ensure that all deadlines are met ensuring that the OPCC Executive team see all necessary work on time and that responses from the OPCC Executive team are disseminated promptly.

  • To ensure that suitable travel and accommodation arrangements are made as and when necessary.

  • To manage prioritise and monitor all e-mails and correspondence to support effective decision making by the OPCC Executive team.

  • To work with individuals at all levels to facilitate the development and delivery of the Commissioner’s priorities.

  • To keep abreast of day-to-day developments in order to keep the OPCC Executive team organised and up to date.

  • To anticipate/ obtain any further support the OPCC Executive team.

  • To deliver a customer-focused service.

  • To promote and adhere to the Office of Police and Crime Commissioner’s Equal Opportunities Policy to support the development of a diverse workforce.

  • To take reasonable care of own and others' safety; to co-operate with managers / supervisors in complying with statutory health and safety duties; to report incidents, accidents, faults etc.
